Purchase requests with quotes, approved on your own route. Each approved request becomes one purchase order, issued as a PDF with the VAT and the supplier's TRN, and deliveries are booked in against it. It stays light on purpose: no tenders, budgets or invoice matching.

The purchase
A request is approved on your route, becomes one purchase order, and is closed by what is actually delivered. Every step is on the same record, so the desk sees what is waiting at each one.

Assets
When an asset request is approved and the store has none of that category, a purchase request is raised for the desk to price. It stays off until you switch it on.

Purchase requests
Anyone can ask for what they need, with the items, the quotes and a preferred supplier. A request that is sent back goes back to the stage that returned it, not to the start.
Purchase orders as a PDF
An approved request becomes one purchase order, issued as a PDF with the VAT, the supplier's TRN and your own terms. Cancel it and the request is ready to order again without a second approval.
Approvals on your own route
Requests follow the route you set, by amount, currency, source or department, such as Finance for anything over AED 10,000. With no route set, the line manager decides and then the procurement desk. Nobody approves their own request.
Goods received
Deliveries are booked in against the order, in parts if that is how they arrive. Receiving more than was ordered is blocked.
Suppliers
Each supplier holds its TRN, trade licence number and licence expiry, with its documents attached. The desk is warned 30 and 7 days before a licence lapses.
Spend report
What was ordered and what is still to arrive, by supplier, department or month, for a date range and a branch, as a table and a chart.
Asset requests that buy what is missing
Switch it on and an approved asset request with nothing in stock raises its own purchase request for the desk to price. What arrives is added to the asset register, held for the person who asked.
Roles by branch
Everyone can request. Finance approves and orders company-wide, and a branch admin approves, orders and receives for their own branch.
Purchases are asked for, approved and received by the people in the core record, on the same approval routes and under the same branches.
The employee record
There is no export, no nightly sync and no reconciliation step, because there is no second copy to reconcile.
Each one is switched on per company, on the same employee record. Take this module on its own, or run it with the rest and stop reconciling two systems.
